Summit Healthshare ("Summit," "we," "us" or "our") respects the privacy of the people who visit our website and participate in our community. This Privacy Policy describes the information we collect, how we use it, who we share it with, and the choices you have.
This policy applies to summithealthshare.com and to the services we provide to members and prospective members, whether online, by phone, by text message or by email.
Summit is a health share community network. We are not an insurance company and we are not regulated as one. Members voluntarily share one another's medical expenses according to community guidelines.
By using our website or our services, you accept the practices described in this policy and consent to our collection, use, disclosure and storage of your information as set out here. If you do not agree with this policy, please do not use our website or services.
If you have questions about anything in this policy, write to us at support@summithealthshare.com.
Information you give us directly. When you contact us, request information, or apply for membership, we collect what you provide. Depending on what you are doing, this may include your name, address, email address, telephone number, date of birth, household members, payment information, and Social Security number only when required.
Health information. When you apply for membership, submit a sharing request, or ask us about your eligibility, we collect information about your health. This may include your medical history, current and past conditions, treatments, prescriptions, tobacco use, and records or bills from health care providers. We treat this information as sensitive and handle it as described in the Health information section below.
Information collected automatically. When you visit our website we automatically receive your IP address, browser type and language, operating system, access times, the pages you view and links you click, and the website you came from. Some of this is collected using cookies and similar technologies, described below.
Information from other people and organizations. We may receive information about you from health care providers where you have authorized its release, from our third-party administrator in the course of processing a sharing request, and from the benefits administrator that handles enrollment.
Calls to and from Summit Healthshare are recorded. We tell you this at the beginning of each call. Our main line is answered by an AI voice assistant, which identifies itself as artificial intelligence at the start of the conversation. It can answer general questions and connect you with a member of our team. It cannot make decisions about your eligibility, your contribution amount, or any sharing request.
We use recordings, transcripts and written summaries of calls to answer your questions, to follow up with you, for training, and to keep an accurate record of what was discussed. These are stored with your record in our member management system.
Our telephone and voice assistant providers process calls on our behalf and are not permitted to use the information for their own purposes.
Our website offers a chat assistant. The assistant is artificial intelligence, not a person, and it identifies itself as such at the start of every conversation. It can answer general questions about Summit Healthshare and connect you with a member of our team, but it cannot make decisions about your eligibility, your contribution amount, or any sharing request.
The assistant is provided by Retell AI, Inc., a third-party technology provider. When you use the chat, your messages are transmitted to and processed by Retell in order to generate a response. Retell acts as our service provider and is not permitted to use your information for its own purposes.
We collect the messages you send, the assistant's replies, the date and time of the conversation, and a short written summary of what was discussed. If you choose to give us your name, email address or phone number during the chat, we collect those as well.
The chat assistant is not intended to collect information about your health. It will not ask you about your medical history, conditions, diagnoses or treatments, and it is instructed not to record any such information you choose to share. However, anything you type is transmitted and stored as part of the conversation record. Please do not enter details of your medical history, conditions or treatment into the chat. If you want to discuss your particular situation, call us at (888) 630-9751.
Conversations linked to an identified person are retained with that person's record. Conversations from visitors we cannot identify are retained for 30 days and then deleted. Because we have no way to connect an anonymous conversation to a particular individual, we cannot retrieve or delete a specific anonymous conversation on request.
Using the chat is entirely optional. You can reach us by phone at (888) 630-9751 or by email at support@summithealthshare.com instead.
If you give us your mobile number, we may send you text messages about your membership, including appointment confirmations and reminders about scheduled calls. These messages are sent using 10DLC (10-digit long code) messaging. Message frequency varies. Message and data rates may apply.
Our text messaging number does not accept replies. To reach us, call (888) 630-9751 or email support@summithealthshare.com. You can stop receiving texts at any time by replying STOP or by contacting us.
We do not share mobile numbers or text messaging consent with third parties for their own marketing.
Email you send to support@summithealthshare.com is stored with your record in our member management system so that whoever helps you next can see what was already discussed.
We collect health information only where it is needed to operate the community: to determine eligibility, to process and share medical expenses, to communicate with you about your membership, and to meet our legal and accounting obligations.
We do not sell health information. We do not use health information for advertising, and we do not disclose it to advertising networks or data brokers.
We share health information with:
Partner network service providers that process enrollment, sharing requests and provider bills, Health care providers, to coordinate care or payment, technology providers that host and operate our systems, under contracts limiting them to processing on our behalf, legal and accounting advisors, and government agencies or courts where required by law
We retain health information for as long as you are a member and afterward for the period required by our record-keeping, legal and accounting obligations.
We treat the health information you give us as confidential and handle it only as described in this policy. Summit Healthshare is a health share community network rather than a health plan or insurance company, so federal health privacy law does not apply to us in the way it applies to insurers. Our commitment to protecting your information does not depend on that.
Cookies and similar technologies. Cookies are small text files stored on your device. We use them to keep the site working, to remember your preferences, and to understand how the site is used. Most browsers accept cookies automatically, but you can change your browser settings to refuse or delete them. If you do, some parts of the site may not work properly.
Web beacons are small invisible graphics embedded in web pages or emails. We may use them to count visitors to a page, to understand usage patterns, and to tell whether an email we sent was opened.
Third-party analytics and advertising. We may allow third parties to place cookies or similar technologies on our site to measure how our site and our advertising perform. These companies may collect information about your visit and combine it with information from other sites. We do not provide your name, contact details or health information to these companies.
Do Not Track. We do not currently respond to Do Not Track browser signals.
We use the information we collect to: communicate with you and keep a record of those communications, administer your membership,
coordinate with partner network service providers, improve our services and train our team, detect and prevent fraud, meet our legal, accounting and record-keeping obligations
We may also send you information about Summit that we think will interest you. You can opt out at any time without affecting your membership.
Who we share information with. Service providers. We share information with companies that perform services for us — including telephony, voice and chat assistants, customer relationship management, scheduling, payment processing, secure file transfer, and email. These providers may access only the information they need to perform their function and are not permitted to use it for their own purposes.
Administrators. We share information with our third-party administrator and benefits administrator in order to process enrollment and sharing requests. Health care providers. We share information with providers as needed to coordinate payment for your care. Professional advisors. We share information with legal and accounting advisors where required.
Legal and safety. We may disclose information in response to a subpoena, court order, or request from a law enforcement or government agency; to establish or defend legal claims; to investigate suspected fraud or illegal activity; or to protect the rights, property or safety of Summit, our members, or others.
Business transfers. If Summit is involved in a merger, acquisition, reorganization or sale of assets, information may be transferred as part of that transaction.
We do not sell your personal information, and we do not share it with third parties for their own direct marketing.
De-identified and aggregated information. We may create information that does not identify you, either by removing identifying details or by combining information about many people into totals and summaries. We may use and share this information for any purpose, including understanding how our community uses our services, reporting general figures to partners and advisors, and describing Summit publicly. We do not attempt to re-identify information once it has been de-identified.
How long we keep information. We keep information for as long as you are a member and afterward as needed to meet our legal, accounting and record-keeping obligations, to resolve disputes, and to enforce our agreements.
If you ask us to delete your information, we will do so except where we are required or permitted to retain it.
Your choices and rights. Access and correction. You can ask us what information we hold about you and ask us to correct it. Write to support@summithealthshare.com.
Deletion. You can ask us to delete your information. We will do so unless we are required to keep it. Marketing. You can opt out of marketing emails using the unsubscribe link in any marketing message, or by contacting us. You will still receive messages about your membership. Text messages. Reply STOP to any text, or contact us.
State privacy rights. Residents of several states have additional rights under state privacy laws, including California, Colorado, Connecticut, Nevada, Utah and Virginia. Depending on your state, these may include the right to know what information we collect, to access a copy of it, to correct it, to delete it, to obtain it in a portable format, and to opt out of certain uses.
Nevada residents. Nevada law gives you specific rights regarding consumer health data, including the right to know what consumer health data we collect and share, the right to withdraw consent to its collection and sharing, and the right to have it deleted. Where we collect consumer health data, we ask for your consent at the point of collection.
To exercise any of these rights, email support@summithealthshare.com. We will verify your identity before acting on your request. We will respond within the time required by your state's law. If we decline your request, we will tell you why, and you may appeal by replying to our response. We will not discriminate against you for exercising any of these rights.
How we protect information. We use physical, electronic and administrative safeguards to protect your information. Access is limited to people who need it to do their jobs. Files containing sensitive information are encrypted in transit and at rest, and transferred using secure file transfer rather than email. No system is completely secure. While we take these steps, we cannot guarantee that your information will never be accessed or disclosed in a way that this policy does not describe.
Children. Our website and services are intended for adults. We do not knowingly collect information directly from children under 13. Where a membership covers children in a household, we collect their information from the adult applying for membership.
Links to other websites. Our website may link to sites we do not operate. This policy does not apply to those sites. We encourage you to read the privacy policy of any site you visit.
Where your information is held. We operate in the United States and your information is stored and processed here. Our services are intended for United States residents only.
Changes to this policy. We will update this policy as our practices change. The date at the top shows when it was last revised. We encourage you to check back from time to time.
